What a solo dental practice loses to paper

A single-chair clinic is not short of clinical skill. It is short of one person to chase everything else. The losses are quiet and they compound:

• A patient who does not return because nobody followed up, and nobody followed up because the recall lived in a receptionist's memory.
• An outstanding balance nobody can total, because payments are part-paid across visits and recorded in a book.
• A treatment plan agreed verbally, remembered as one figure by the dentist and a smaller one by the patient.
• Material that runs out mid-procedure because stock was tracked by looking at the shelf.

None of these needs a large system to fix. They need one place where the record lives.

Who it is for

A dentist who owns and runs a small clinic: one chair, perhaps a second, a receptionist or an assistant, and no one whose job is IT. It also fits a clinic that expects to add an associate later, because the same account grows with it.

A single-chair clinic day in one system

1. Appointment: the patient is booked in the scheduler, and staff send a WhatsApp reminder with one tap.
2. Examination: findings and investigations, including radiographs, go on the patient record.
3. Chart: findings are marked on the 32-tooth odontogram; see how the dental charting software works.
4. Treatment plan: findings become a priced plan the patient agrees to, tracked from started to finished.
5. Invoice: finished procedures become invoice lines, with part payments and the outstanding balance on the same record.

Which plan fits a single-chair clinic

There is no per-seat charge and no module you buy separately, but the two plans are not the same software. Be clear about the difference before you choose:

Both plans are priced per clinic per month, with no setup fee and no long-term contract, and you can move from the limited plan to the recommended plan at any time. Nothing to administer

There is no server in the back room and no installation on the clinic computer. Dentrah runs in a web browser, so the practice opens on whatever machine is in front of you: the reception desktop, a laptop, or a tablet at the chair.

This is the part solo dentists underrate until it bites. A local install ties your entire patient history to one physical computer. When that machine fails, is stolen, or is replaced, the records are the problem. With cloud software the machine is replaceable and the record is not tied to it. On your phone as well

From solo practice to a clinic with an associate

A single-chair clinic that does well becomes a two-chair clinic, then hires an associate. That is normally the moment you discover your software was a solo product and you need to move everything.

Dentrah handles the transition in the same account. Staff get individual logins with per-module permissions, so a receptionist sees the schedule and the patient list without seeing clinic financials. On the recommended plan, add an associate, set their commission percentage, and their share is calculated per invoice line: gross is quantity times price minus discount, net is gross minus lab cost and procedure cost, and the doctor takes their percentage of net. Payouts are recorded against the period they cover.

Starting a solo practice from paper registers

You do not need to back-enter years of registers before the software is useful. Start with the patients who are actually active. Register a patient when they next attend, chart them, plan their treatment, invoice from the plan. Within a couple of months the clinic's live caseload is in the system and the old register is an archive rather than a working document.

A realistic first week

The failure mode when a solo practice adopts software is trying to do everything at once, getting three days in, and going back to the register. A sequence that tends to hold:

1. Day one: set your clinic profile and working hours, and enter your procedure list with prices. This is the only genuine setup work, and it is what makes everything afterwards fast.
2. Day two: stop keeping the appointment diary on paper. Book everything in the scheduler, including walk-ins. Nothing else changes yet.
3. Week one: register each patient as they attend rather than bulk-entering your old register. Chart them, and let the treatment plan follow from the examination.

Before you decide

A solo practice cannot afford a surprise three weeks in, so here is what Dentrah does not do, anywhere:

• Payments are recorded, not collected: there is no built-in card or online payment processing, and no payment-gateway integration.
• No insurance claim submission or electronic claims processing.
• No national health-record or e-prescribing integration.
• Support is provided remotely, in English, over WhatsApp and email, Monday to Saturday, 10:00 AM to 7:00 PM IST (UTC+5:30). There is no in-person or on-site support.
• The software interface and voice dictation are in English.
• No tax module: invoices show the clinic's own prices, and tax such as GST or VAT is not calculated.
• Not yet available: patient self-booking and a patient-facing app.
• Not yet available: automated bulk SMS or WhatsApp sending (reminders are sent by staff, one tap at a time).
