What clinic billing usually goes wrong

In most small clinics the bill is the last thing anyone thinks about and the first thing that breaks. A patient agrees to root canal treatment and a crown, pays part of it today, comes back in three weeks, and by then the receipt book, the treatment note and the doctor's own diary disagree about what is still owed. The argument at the desk is rarely about dentistry. It is about arithmetic nobody can reproduce.

Billing software is worth having only if it removes that retyping. What was planned, what was performed and what was charged should be one record, and the balance should be a fact you can read rather than a sum somebody does again each time the patient walks in.

How billing works in Dentrah

1. Set the clinic's billing currency once

The billing currency is a clinic profile setting. An Indian clinic sets it to the rupee, and every invoice, payment and report from then on is in rupees. It is set once, not chosen per invoice, so staff cannot raise a bill in the wrong currency by accident.

2. Charges arrive from the treatment plan

Procedures are priced in the patient's treatment plan and tracked from started to finished. When a procedure is finished it becomes a line on the invoice, so the amount billed is the amount that was planned and carried out. Nothing is retyped from a note, which is where most billing disputes begin.

3. Build the invoice line by line

Each line carries its own quantity, unit price and discount. Two units of the same procedure on different teeth are a quantity. A concession on one crown is a discount on that line, not a mysterious round number taken off the total. 4. Record the payment, however the patient paid

A payment is recorded against the invoice for the amount actually handed over, marked as cash, card or bank transfer. Part payments are normal in dentistry and are treated as normal here: a course of treatment paid across four visits is one invoice with four payments and a balance that falls each time, not four disconnected receipts.

5. Print it on your own letterhead

The print preview lays the invoice out on the clinic's letterhead, so the document the patient carries home carries your clinic's name and details rather than a generic software receipt. The same preview is what you hand to a patient asking for a bill for reimbursement.

Which plan includes billing

Invoices and payments are in the limited plan, alongside appointments, prescriptions and reports. The limited plan leaves out examinations and investigations, treatment plans, dental charting, transactions, inventory, revenue share and accounting — so if you want charges to flow from a finished procedure onto the bill, or an associate's share worked out from the invoice line, you need the recommended plan. The free first month unlocks every feature for 30 days with no credit card, which is long enough to bill real patients before deciding.

Limits worth knowing before you buy

Two limits matter more than any feature list on a billing page:

  • Payments are recorded, not collected. There is no card processing, no UPI collection and no payment-gateway integration. You take the money the way you already do — cash, machine, UPI on your own app, bank transfer — and record which of those it was.
  • There is no GST or VAT tax module. The invoice shows your own prices and no tax is calculated on them. In India, health care services by a clinical establishment are generally exempt, while goods and cosmetic work can be taxable; read GST on dental treatment before you assume either way, and check with your accountant.

The wider limits that apply everywhere:

  • Payments are recorded, not collected: there is no built-in card or online payment processing, and no payment-gateway integration.
  • No insurance claim submission or electronic claims processing.
  • No national health-record or e-prescribing integration.
  • Support is provided remotely, in English, over WhatsApp and email, Monday to Saturday, 10:00 AM to 7:00 PM IST (UTC+5:30). There is no in-person or on-site support.
  • The software interface and voice dictation are in English.
  • No tax module: invoices show the clinic's own prices, and tax such as GST or VAT is not calculated.
