Privacy Policy

This policy explains, in plain English, what personal information we handle when you use the Dentrah website at dentrah.com or the Dentrah dental clinic software, why we handle it, and what you can ask us to do about it. It describes what this product actually does. It does not describe features we have not built.

1. Who we are

Dentrah is operated by Jantrah Tech Co UK Ltd, 60 Overstone Road, Luton LU4 8QZ, United Kingdom. We are the data controller for the information you give us through this website and for the account information of the clinics that subscribe.

For anything in this policy, write to business@dentrah.com. We reply within one working day, Monday to Saturday, 10:00 AM to 7:00 PM IST (UTC+5:30). Correspondence is in English.

2. Information we collect

Enquiry and demo details

When you request a demo or contact us, we collect what you type into the form: your name, phone number, email address, clinic name, city, country and your message. We use it to answer you and to arrange a demo.

The demo form prepares those details as a WhatsApp message for you to send, and emails a copy to us so your enquiry is not lost. Sending the WhatsApp message is your choice: if you send it, the message and your phone number are handled by WhatsApp under its own terms and privacy policy, and we then hold the conversation in our WhatsApp account. You can email business@dentrah.com instead if you would rather not use WhatsApp.

Clinic data entered into the software

A subscribing clinic enters its own working records into Dentrah: patient records, appointments, clinical notes and findings, prescriptions, invoices and payments. The clinic decides what to enter and why. We hold and process that data on the clinic's instructions so that the software works.

Account and login data

Each staff member has an individual login. We store the account details needed to authenticate them and to apply the permissions the clinic has set.

Website analytics

This website uses Google Analytics to count visits and see which pages are read. That involves standard analytics information such as pages viewed, approximate location, device and browser type, and a truncated or processed IP address. We use it in aggregate, to improve the site.

3. Clinic data: who is responsible for what

The clinic remains the controller of its patients' data. It decides what to record, how long to keep it and who may see it. Dentrah acts as a processor: we process that data to provide the service, to support the clinic when it asks, and to keep the system running. We do not use clinic or patient data for our own marketing, we do not sell it, and we do not share it with advertisers.

A data-processing agreement covering this relationship is available on request by emailing business@dentrah.com.

If a patient wants to see, correct or delete their record, they should ask their dental clinic. The clinic holds the relationship and the clinical duty; we act on the clinic's instruction.

4. Why we use it, and on what basis

  • To answer your enquiry and run a demo. You asked us to get in touch, and it is in our legitimate interest to respond to a business enquiry.
  • To provide the software under our contract with the subscribing clinic, including logins, support and billing.
  • To process clinic and patient data on the clinic's instructions, under our contract with that clinic.
  • To keep the service secure and working, which is our legitimate interest and, in places, a legal obligation.
  • To measure how the website is used, with analytics, on the basis of your consent to analytics cookies.
  • To meet legal, accounting and tax obligations.

We do not sell personal data, and we do not use it to build advertising profiles.

5. Where data is stored, and international transfers

Dentrah is cloud software. Clinic data is stored on cloud servers, and those servers are not located in India. The hosting region is confirmed on request before you subscribe: email business@dentrah.com and we will tell you where your clinic's data will sit.

That means data may be transferred to and stored in a country other than the one your clinic operates in. If your clinic has a data-residency rule of its own, check this point with us before you sign up rather than after. Details of the safeguards applied to those transfers are provided on request with the hosting region.

6. How long we keep it

We keep enquiry details for as long as we are in contact with you about your enquiry, and for a reasonable period afterwards in case you come back to it. We keep a clinic's data for as long as the clinic has an account with us, and for a short period after the account ends so the clinic can export its records or change its mind. After that it is deleted or anonymised. We keep what we must keep for accounting and legal reasons. A clinic can ask us to delete its data sooner, and we will do so unless the law requires us to hold it.

7. Who else is involved

We use a small number of service providers to run Dentrah: cloud hosting, email delivery, Google Analytics for website measurement, and WhatsApp where a clinic or an enquirer chooses to talk to us there. Those providers process data under their own terms and only for the purpose we engaged them for. We do not pass your details to anyone for their own marketing.

We may disclose information where we are legally required to, or to protect our rights or the safety of the service.

8. Your rights

Depending on where you are and on the law that applies, you can ask us to:

  • tell you what personal data we hold about you, and give you a copy (access);
  • correct data that is wrong or incomplete (rectification);
  • delete data we no longer need to hold (erasure);
  • give you your data in a portable, machine-readable form (portability) — a subscribing clinic can also export its own records from the software at any time;
  • restrict or stop a particular use, including objecting to processing we base on legitimate interests;
  • withdraw consent you gave, such as consent to analytics cookies.

To exercise any of these, email business@dentrah.com. We may need to check who you are before we act. You can also complain to a data-protection supervisory authority. In the United Kingdom that is the Information Commissioner's Office (ICO); elsewhere it is the authority for your country.

9. Cookies

The application uses essential cookies to keep you logged in and to hold your session. Without them it cannot work. This website also uses analytics cookies through Google Analytics to understand how visitors read the pages. You can block or delete cookies in your browser; blocking essential cookies will stop the application working. We do not use advertising cookies.

10. Children's data

Dentrah is business software used by dental clinics and their staff. It is not offered to children and patients do not use it directly — there is no patient login and no patient-facing app. A patient record may of course describe a child, because clinics treat children. In that case the record is entered and controlled by the clinic, which is responsible for consent, and we process it only as described in section 3.

11. Changes to this policy

We may update this policy as the product or the law changes. The current version is always on this page, with the “Last updated” date above. If a change materially affects a subscribing clinic, we will tell the clinic.
